SOCCER BOARD MEETING 9-20-2007

The Rossville Area Youth Soccer board met at 7pm on 9-20-2007 at the Rossville library. President, Randy Long called the meeting to order with the following members present: Joel Wilson, Jeff Quinton, Jeff Hughes, Ric Brown, John Isenberg, and Allison Holden. The minutes from 9-6-2007 were read and approved.
COMMITTEE REPORTS
REFEREES: Ref fees for all games will be $10.
FINANCE: Current balance is $12,300. Outstanding bills include Jacoby’s for rec shirts and Eurosport for the high school jerseys. Eddie Yoder’s quote for installing a security system in the concession stand is $930. $500 covers security system key pad, security panel, pads on windows & doors, motion detector, and sign. It will cost $37 per month for monitoring. John will check with Eddie and see if we could have just quarterly coverage. The concession stand was broken into last night, however Jeff can not determine that anything was actually taken.
John would like to do an exit interview with Adam Barrett and talk with the Anes.
Jeff Hughes turned in gate and concession receipts. (amount=____)

MARKETING: Ric reports there is still $450 out in sponsor money. He will send invoices. (AFLAC, Alexander’s Tree Service, and Doodad). Sponsors who donated over $250 will receive banner ads on the website. Ric will be working on those this week.
There is still money outstanding from the fall rec league registrations ($1710) and the spring travel season ($1252) Ric will draft a letter to send to the rec players who have not paid or who have a balance due.
Deposits of $20 are due back to the travel players who opted not to drive to Carroll for practices (Laura McIlrath-daughter of Gerald and Pat, and Eli Wilson-son of Mark) Eli has not paid this year’s registration yet so may want to adjust accordingly)
Deposits of $20 are also due to the 3 Rossville kids who were rostered and paid fees under Carroll (Ian Brown, Aron Long, and Creighton Suter)
Ric reports that back in January, we budgeted $180 per quarter for the newsletter. The cost to print and mail the newsletter is actually $340 ($222 is printing cost alone –the rest is postage) Allison made a motion, seconded by John to do another newsletter-the motion carried. Would like to include colored pictures of players in future newsletters.

MARKETING: Ric has made a player database, but needs the 2007 travel rosters to complete it. The newsletters have been mailed. It may be too expensive to do quarterly-will need to discuss further. He mailed around 300. The postage was $85.50 and printing costs were $200.
And then from 6-17-07 minutes:
MARKETING: With the rec league registration and other information that needs to get out, Ric would like to sent out another newsletter. It will be shorter than the first one and would cost around $314 to publish. Kirk made a motion to do a newsletter, seconded by Ric, and it carried.

Ric would like to redesign the website for 2008 for how we have grown. He suggested we have a board retreat to hammer out our 5-year plan. We need to decide on the activities that we would like to do and then do a budget to meet those activities.
Mr. Pennington has been taking pictures at the high school games. We would like to put them on our website, but don’t have parental permission. Joel suggests we run it by Mr. Knapp.

REC LEAGUE: We have some teenage coaches and it has been suggested they have an adult (team parent) at practices, mainly to protect the teenage coach. U12 Tyler Isenberg (he already has an adult assistant) U17 Kevin Trillingham and John Mitchell. We will check with Ginny Murphy, the coordinator, about a team parent.

FIELDS: The U8 field has a large hole in it-Jeff is aware. The concession stand needs to be painted-the seniors are planning to do it. The concession stand is also in need of landscaping-would be a good scout project-Jeff will check with some scouts.

Arni’s on the square in Frankfort has donated $20 gift certificates for our coaches. John needs the names of the coaches from Kirk.

Elections will be held next month.

The meeting was adjourned at 8:30pm.
